PhD programmes at University of Sheffield: After you Apply

You’ve submitted your comprehensive PhD application—that’s a huge milestone! Now begins the assessment phase. The University of Sheffield follows a structured process to evaluate your research potential and suitability for doctoral study. Knowing what to expect next will help you prepare for the final steps toward becoming a Sheffield PhD student.



1. Application Acknowledgement and Review

Within a few working days of submitting your application online, you will receive an email acknowledging receipt. This email will contain your applicant number, which is important for all future communications.

  1. Tracking Progress: You can check the status of your application at any time by logging back into the online application portal.
  2. Academic Consideration: Your application, particularly your research proposal and academic transcripts, is sent to the relevant academic department. The postgraduate admissions team and your proposed supervisor will carefully review the documents to assess your suitability and the feasibility of your research project.
  3. Timeframe: For PhD research applications, it normally takes academic schools around six weeks to make a decision. This can be longer during busy periods. If you haven't heard back after about eight weeks, you can contact the academic school directly.


2. The Interview Stage

For most PhD applications, an interview is a standard part of the selection process. It is a chance for the department to assess your motivation and for you to ask crucial questions.

  1. Invitation: If you are shortlisted, you will be invited for an interview, usually conducted online via video conference, especially for international candidates.
  2. What to Expect: The interview typically involves your proposed supervisor and at least one other academic. Discussions will focus on:

  4. Your motivation: Why you chose this topic, this supervisor, and the University of Sheffield.

3. The Decision: Conditional or Unconditional Offer

Responding to Your Offer: You can formally accept or decline the offer through your online application. Accepting promptly allows you to move on to the next logistical steps, like applying for accommodation or a visa.


4. Next Steps for International Applicants: The CAS

If you are an international student requiring a Student visa to study in the UK, the final key step is receiving your Confirmation of Acceptance for Studies (CAS).

  1. Eligibility: The University will only issue a CAS once you have accepted an Unconditional Offer and it is within four months of your official course start date.
  2. CAS Application Process: The process is managed through the University’s pre-registration system. You will need to:

  4. Confirm your CAS application details are correct (personal information, passport, course details).
  5. The CAS is a unique electronic reference number that confirms the University is sponsoring your study. You must have this number to submit your UK Student visa application.


5. Final Preparation: Pre-Registration and Start

Once all conditions are met, you’ve accepted your offer, and (if applicable) your visa is secured, you will move into the final pre-registration phase.

  1. MUSE Account: You will receive information on activating your University account (MUSE). This is your portal for University communications and services.
  2. Accommodation: You can apply for University accommodation once you have accepted your offer.
  3. Pre-Registration: About four weeks before your start date, you will receive information on how to complete your final pre-registration tasks online before arriving in Sheffield.
